Business Coach Estimate Template (Free)

Business coaches send a proposal or quote when a prospect asks what an engagement will cost, usually after a discovery call. Clients compare package length, number of sessions, level of access between calls, and total price against other coaches or consultants. A clear quote also helps a company decide whether to fund coaching for a team member.

What to include in your Business Coach quote

  • Engagement length and start date

A 3-month and a 12-month program are priced very differently, and both sides need to know when it begins and ends.

  • Number, length, and format of sessions

Specifies how many sessions, how long, and whether they are video, phone, or in person, so expectations match what you deliver.

  • Between-session support

Spells out whether email, chat, or voice messages are included, and your response time, to prevent unlimited unpaid access.

  • Deliverables and materials

Lists assessments, workbooks, action plans, or progress reviews that are part of the price, and which cost extra.

  • Goals and what you do not guarantee

Set the objectives you will work toward, and state that results depend on the client's action so you are not held to promised revenue.

  • Total price, payment schedule, and deposit

Shows the full cost, when each payment is due, and any paid-in-full discount.

  • Cancellation, rescheduling, and termination terms

Covers what happens if the client pauses or ends early, and whether prepaid fees are refundable.

Pricing your quotes

Quote a package, not an hourly total

Present one price for a defined engagement, such as 6 months with 2 sessions a month. This focuses the client on the outcome rather than on counting hours.

Offer two or three tiers

A lighter option with fewer sessions, a standard option, and one with extra access or an intensive lets the client choose and often moves them to the middle option.

Price to the client's size and the value of the goal

A founder trying to double a six-figure business and a company paying for a director's development are different buyers. Adjust your price to the scope and the budget, within a range you can defend.

Set an expiration date on the quote

Hold your price and your calendar space for 7 to 14 days. This keeps you from reserving a client slot indefinitely at an old rate.

Business Coach estimate FAQ

Should I give a free discovery session before quoting?

Many coaches offer a free 20 to 45 minute call to learn the client's goals and fit. Use it to gather what you need to write a specific quote, and keep it limited so it does not become a free coaching session.

Is a proposal the same as a coaching agreement?

No. A proposal describes the offer and price. The agreement is the signed contract covering confidentiality, payment, cancellation, and scope. Many coaches send the agreement once the client accepts the proposal.

Can I change the price after the client accepts?

Not for the scope you quoted. If the client asks for more sessions, extra team members, or added deliverables, send a revised quote or a change order for the added work.
