HubSpot consultants send estimates after a discovery call or portal review, before signing an SOW. Clients often compare several consultants or agencies, and they focus on total price, timeline, the hubs involved, and how much of the work they will need to do themselves.
When to use estimates: Use estimates to provide project quotes and get client approval before starting work. Once approved, convert your estimate to an invoice with one click to collect payment.

Features differ between Starter, Professional, and Enterprise, so the work you can quote depends on the client's plan.
Cost depends on the number of contacts, companies, deals, and custom objects, and on how clean the source data is.
Counting the deliverables gives a clear boundary for what the fixed fee covers.
Native connectors, third-party tools, and custom API work vary widely in effort, so name each one you are covering.
Delays in data exports, approvals, and portal access are a top cause of overruns, so state what you need and by when.
Clarify the number of sessions, recordings, and written guides so clients know what to expect at handoff.
Setting a defined number of revisions and a support period, such as 30 days, limits unpaid follow-up work.
| Service | Priced | Typical range |
|---|---|---|
| General consulting and admin support | per hour | $90-200 |
| Portal audit with written recommendations | flat fee | $1,500-5,000 |
| Sales Hub or Marketing Hub implementation (small business) | flat fee | $3,000-15,000 |
| Data migration from another CRM (contacts, companies, deals) | flat fee | $2,000-10,000 |
| Workflow and lead scoring build | per workflow | $300-1,500 |
| Custom reporting and dashboard setup | flat fee | $1,000-4,000 |
| Team training session (live, remote or on-site) | per session | $500-2,000 |
| Ongoing admin retainer | per month | $1,500-6,000 |
Typical US ranges. Rates vary by region, experience, and job size.
If the client cannot describe their processes or data, sell a short paid audit and quote the build afterward. It prevents you from underpricing a project you do not yet understand.
Present a core setup, a standard package with automation and reporting, and a full package with training and a support window. Clients can compare options and many choose the middle one.
Include the number of objects, custom fields, and associations, and add a contingency for messy data or missing exports. State that unusually dirty data may change the price.
List deposit, build, and go-live payments with expected dates. It makes a large number easier to approve and sets the payment rhythm from the start.
Give a fixed price once scope is defined. If there are unknowns like data quality or integrations you have not seen, give a range or quote discovery separately, and say what would move the price within the range.
Fifteen to thirty days is typical. Pricing and your availability change, and clients' HubSpot plans or requirements may change too, so put an expiration date on the quote.
A short discovery call is usually free. A detailed review of a client's portal or a written proposal with recommendations is often billed as an audit, and many consultants credit that fee against the project if the client moves forward.
Treat it as a change request. Describe the added work, give the hours or fixed price, and get written approval before starting. Then bill it as a separate line on the next invoice.
