Salesforce consultants send estimates before implementation, integration, migration, and cleanup projects, usually after an intro call or a discovery phase. Clients typically compare estimates from several consultants and agencies, looking at total cost, timeline, who does the work, and what is excluded.
When to use estimates: Use estimates to provide project quotes and get client approval before starting work. Once approved, convert your estimate to an invoice with one click to collect payment.

Features differ by edition, so state which Salesforce products you are building on and that the client is responsible for the licenses.
A list with counts, such as 8 custom objects or 5 dashboards, gives you a clear point at which the work is done.
Messy source data is a leading cause of overruns, so state who cleans it and what format you need.
Connecting to billing, marketing, or ERP systems adds unknowns. Name each system and who provides API access and documentation.
Delays in feedback, user testing, or access can extend timelines. State what you need and by when.
Clarify how many rounds of revisions are included and how many days of post-launch support are covered.
Listing what is not included, such as custom Apex, training, or ongoing support, prevents scope disputes.
| Service | Priced | Typical range |
|---|---|---|
| Salesforce admin / configuration (flows, reports, page layouts) | per hour | $75-150 |
| Apex / Lightning Web Component development | per hour | $125-225 |
| Solution architecture and integration design | per hour | $150-250 |
| Discovery and requirements workshop | flat fee | $2,000-6,000 |
| Sales Cloud or Service Cloud implementation (small team) | flat fee | $8,000-30,000 |
| Data migration and cleanup | flat fee | $2,500-10,000 |
| Monthly admin retainer | per month | $1,500-6,000 |
| User training session (virtual or onsite) | per session | $500-1,500 |
Typical US ranges. Rates vary by region, experience, and job size.
If requirements are not final, give a low and high figure with assumptions listed. Narrow it to a fixed price after discovery.
Splitting discovery, build, migration, training, and support lets clients choose what to start with and makes milestone billing straightforward.
These areas are the hardest to predict. Many consultants add 15 to 25 percent contingency or limit estimates to defined record counts and systems.
Include an optional monthly retainer after go-live. It sets expectations for post-launch changes and gives you recurring work.
A short call and a rough range are usually free. A detailed scoping effort, such as reviewing an existing org or mapping processes, is better as a paid discovery phase that can be credited toward the build if the client proceeds.
30 days is common. Salesforce releases, your availability, and the client's data can change, so state an expiration date and note that pricing may change after it.
For hourly estimates, notify the client when you reach about 80 percent of the budget and get written approval before continuing. For fixed fees, overruns from your own mistakes are yours, but client-driven changes should go through a change order.
