Motorcycle shops give estimates before any repair beyond a basic service, and always before engine, transmission, or electrical work. Customers often compare your number against a dealer or another independent shop, so the estimate should show what is included, what is not, and what could change once the bike is opened up.
When to use estimates: Use estimates to provide project quotes and get client approval before starting work. Once approved, convert your estimate to an invoice with one click to collect payment.

Ensures the quote is for the right machine and records its condition at intake.
Describes the scope in plain terms so the customer knows exactly what they are approving.
Lets customers compare apples to apples and shows how you arrived at the total.
Parts choice affects price, quality, and warranty, and customers often want to pick.
Worn bearings, seized bolts, or hidden damage often appear mid-job. Naming them in advance sets expectations for a revised quote.
Avoids arguments when a customer declines the repair after paying for diagnosis.
Parts prices change and your schedule fills. A date limits your exposure and tells the customer when to expect the bike back.

For electrical gremlins or a bike that will not start, give a range or approve diagnosis first, then quote the repair. A fixed price on an unknown problem usually costs you money.
Use published flat-rate times or your own records of how long similar jobs took. It keeps quotes consistent and rewards faster work instead of penalizing it.
Present choices such as budget tires, mid-range, and premium sport-touring tires with each total. Customers feel in control and you can sell the higher-margin option without pressure.
If you charge for them on the final invoice, show them on the estimate so the final bill does not surprise anyone.
Simple estimates on known jobs like tires or brake pads are usually free. If the estimate requires teardown or troubleshooting, charge a diagnostic fee and say so before starting.
Many states have rules limiting how far the final bill can exceed a written estimate without customer approval, often by 10 percent or a set dollar amount. Check your state's rules, and get approval for anything beyond the quote.
It is strongly recommended. A signed estimate or work order is proof of authorization, and some states require written or recorded consent for repairs. An email or text reply approving the quote also works for many shops.
