Product designers send an estimate or proposal before any design work begins, usually after an intro call and a look at the client's product, goals, and timeline. Clients often compare several designers or studios, so they look at the scope, number of screens or flows, timeline, and whether the price is fixed or open-ended.
When to use estimates: Use estimates to provide project quotes and get client approval before starting work. Once approved, convert your estimate to an invoice with one click to collect payment.

Clients often assume 'design' includes everything from strategy to production assets. Naming each deliverable sets the boundary.
Adding an iOS app or a tablet layout can significantly change the hours. A stated count makes extra requests easy to price.
Prevents endless feedback loops and gives you a clear point to bill additional work.
Delays in feedback, content, or brand assets push timelines. State how quickly the client needs to respond and what happens if they do not.
Clarifies whether you deliver Figma files, exported assets, or developer specs, and whether the client needs their own licenses.
These are common assumptions that lead to disputes if they are not ruled out in writing.
Locks in your availability and protects you if the client takes weeks to approve and your schedule fills up.

Break the estimate into discovery, UX, UI, and handoff with a price for each. Clients can see where the money goes and can approve a first phase without committing to the whole project.
Product work often uncovers new requirements mid-project. Add a contingency of 10-20% to fixed fees, or offer a lower fixed fee with a clear change process.
Present two or three tiers, such as core flows only, full app design, or full app plus design system. Clients tend to choose the middle option and it shifts the conversation from price to scope.
For work tied to revenue, such as a checkout redesign or onboarding overhaul, a fixed fee based on business impact can be higher than an hourly calculation. Be ready to explain the outcome you are working toward.
A short estimate after a call is usually free. If the client needs a detailed scoping document, audit, or discovery workshop, charge for it and credit the fee against the project if they proceed.
Detailed enough to list the phases, deliverables, number of screens or flows, revision rounds, and timeline. Most estimates fit on one to three pages. More detail helps when the project is large or the client is unfamiliar with design work.
Point to the scope section and send a written change estimate for the additional work. Get approval before starting, and add it as a separate line item on the next invoice.
Fourteen to thirty days is typical. After that, your availability or rates may change, so state an expiration date and say the price may be revised if the client accepts later.
