How Limo Service pricing works

Most limo work is priced per hour with a minimum booking, often 2 to 4 hours for sedans and SUVs and 3 to 6 hours for stretch limos, party buses, and weekend evenings. Airport transfers and point-to-point trips are usually a flat rate based on distance and vehicle type. Many companies add a standard gratuity of 15 to 20 percent, a fuel surcharge, and fees for tolls, parking, and airport fees. Peak dates such as prom, New Year's Eve, and Saturdays in wedding season often carry higher rates or longer minimums. Extras like child seats, red carpet, decorations, and champagne setups are billed as add-ons. Time is typically calculated garage to garage or from pickup to drop-off, so state which method you use. Deposits are standard, and corporate accounts are often billed monthly.

What to include on your Limo Service invoice

  • Pickup and drop-off addresses with date and times

Hourly billing depends on exact start and end times, and clients dispute charges when the timeline is unclear.

  • Vehicle type and number of passengers

Rates differ by vehicle, and capacity limits matter if the group size changed after booking.

  • How time is calculated and the booked minimum

Garage-to-garage versus pickup-to-drop-off can change the bill by an hour or more, and minimums explain a charge for a shorter trip.

  • Itemized surcharges, tolls, parking, and airport fees

Clients accept pass-through costs more readily when they are listed separately from the base rate.

  • Gratuity line, labeled as included or optional

Clients often assume tip is already covered, and unclear gratuity leads to double tipping or complaints.

  • Deposit received and balance due

Shows what was already paid, so the final amount is clear and the deposit is not charged twice.

  • Operating authority, license, or permit number where required

Many states and cities require charter or limousine operating authority, and corporate clients often ask for it for their records. Check your local rules.

Payment terms

Limo companies usually take a deposit of 25 to 50 percent when the reservation is made, sometimes full prepayment for peak dates like prom or New Year's Eve, with the balance due on the day of service or before. Corporate and event planner accounts are often invoiced net 15 or net 30. Cards are the most common payment method, along with ACH, Zelle, and checks for corporate clients. Many companies keep a card on file to cover overtime, damage, or cleaning fees. Cancellation policies commonly make deposits nonrefundable inside 48 to 72 hours of the booking, and late fees of 1.5 percent per month are typical on overdue business accounts.

Billing tips

Put the minimum and overtime rule in the booking

State the minimum hours and how overtime is billed before the trip. Most disputes come from a ride that ran 45 minutes over and a client who did not expect to pay for a full extra hour.

Track actual times with a trip log

Have drivers record arrival, pickup, and drop-off times. A simple log lets you back up wait time and overtime charges when a client questions the bill.

Be clear about gratuity

If you add gratuity automatically, say so on the quote and the invoice and show it as a separate line. If it is optional, tell the client the driver is not paid from the base fare so tipping is expected.

Keep a card on file for incidentals

Get written authorization to charge the card for overtime, tolls, cleaning fees, and damage. It is much easier than chasing a group organizer days after an event.

Invoice corporate accounts per trip with reference numbers

Include the passenger name, PO number, or cost center on each trip. Accounts payable departments often reject invoices that lack these details.

Limo Service invoice FAQ

Should gratuity be included in my limo invoice?

It is common to include an automatic gratuity of 15 to 20 percent, especially for groups and events. If you do, list it as its own line so the client sees it, and tell them in advance. If you leave it optional, say so clearly on the invoice.

How do I bill for wait time at airports?

Most companies include a free window, often 30 to 60 minutes for domestic flights and up to an hour for international ones, tracked from flight landing time. After that, charge per 15 minutes or per hour at your standard rate. State the policy on the quote.

Can I charge a fuel surcharge?

Yes, many companies add a flat or percentage fuel surcharge. It should be disclosed in the quote or booking terms and appear as a separate line on the invoice so it does not look like a hidden fee.

What if the client cancels at the last minute?

Use a written cancellation policy accepted at booking. A common approach is a nonrefundable deposit, with the full minimum charged if the cancellation happens within 24 to 48 hours of the trip. Invoice the amount owed and reference the policy.

Do I charge sales tax on limo service?

It depends on the state and sometimes the city. Some places tax passenger transportation or charter service, and others do not, and gratuity may be treated differently. Check with your state revenue department or an accountant.
