Quotes are sent before a store build, a sourcing project, a management engagement, or a bulk order is placed. Clients usually compare your flat fee against freelancers or agencies and want to know exactly what is included, how long it takes, and which costs are theirs.
When to use estimates: Use estimates to provide project quotes and get client approval before starting work. Once approved, convert your estimate to an invoice with one click to collect payment.

State which platform, theme, and apps you will use and who pays for subscriptions, so the client knows what ongoing costs they carry beyond your fee.
A 20-product store and a 200-product store are very different jobs. Cap the count and price extra products individually.
Clarify whether you choose suppliers, whether the client approves them, and who pays for samples and shipping on them.
Overseas suppliers can take 2-4 weeks. Writing realistic delivery windows into the quote prevents complaints that you promised faster shipping.
State the expected monthly order range and what happens to the price if volume exceeds it or drops below the minimum.
Set how many rounds of changes are included, and list exclusions such as branding, photography, ad management and customer service.
Supplier prices and shipping rates change. A quote valid for 14-30 days and a deposit to start protect you from price shifts.
| Service | Priced | Typical range |
|---|---|---|
| Store setup and theme configuration (platform, payments, policies pages) | flat fee | $500-3,000 |
| Product import, listing and copy cleanup | per product | $5-15 |
| Supplier research and vetting | per hour | $30-75 |
| Store management retainer (catalog upkeep, pricing, customer service routing) | per month | $500-2,000 |
| Order processing and supplier order placement | per order | $1-3 |
| Sample orders and quality checks | cost plus handling | Cost + $5-15 per order |
| Wholesale or bulk order resale (supplier cost markup) | percent markup | 20-50% over cost |
| Branded packaging or insert coordination | per order or per project | $0.50-2 per unit, or $150-500 per project |
Typical US ranges. Rates vary by region, experience, and job size.
Flat fees work for builds because the scope is clear. Management and fulfillment are open-ended, so quote them as a retainer or per-order rate with stated limits.
Supplier prices, shipping rates and exchange rates move. For resale quotes, add a margin or state that pricing is based on current supplier costs and may be adjusted if they change.
A basic, standard and full-service tier, such as store build only, build plus sourcing, and build plus ongoing management, lets clients choose and makes your pricing easy to compare.
Separate your labor, pass-through costs and optional add-ons. Clients trust a quote more when they see where the money goes and can remove items they do not need.
Simple quotes are usually free. For a custom sourcing study or detailed product research, charge a small fee or credit it toward the project if the client signs.
Fourteen to thirty days is typical. Supplier costs and shipping rates can change, so state an expiry date and note that prices may be revised afterward.
Include a clause stating that resale pricing is based on current supplier costs and will be adjusted with notice if costs change by more than a set percentage. For fixed-fee services this matters less.
For services with unknowns, such as sourcing from unfamiliar suppliers, a range with a not-to-exceed amount works. For builds with a defined product count, a fixed price is clearer and easier to approve.
