Designers send a proposal or estimate after an intro call or brief and before any work begins. Clients often compare several quotes, so they look at the number of phases, included revision rounds, who owns the files, and whether research and handoff are covered.
When to use estimates: Use estimates to provide project quotes and get client approval before starting work. Once approved, convert your estimate to an invoice with one click to collect payment.

Listing research summary, wireframes, UI screens, prototype, and handoff specs separately makes clear what the fee includes.
A 10-screen app and a 40-screen app are very different jobs, and platforms such as iOS, Android, and web multiply the work.
Without a limit, feedback can continue indefinitely. State how many rounds are included and the rate for more.
Delays in content, access, or feedback stall projects. Setting expected turnaround times protects your schedule and lets you adjust deadlines.
Clients should know whether they get Figma files, exported assets, or only a prototype link.
State when rights transfer, usually on final payment, and whether you can show the work in your portfolio.
Items like branding, illustration, copywriting, front-end development, and post-launch support should be listed as excluded or quoted separately.

Estimate your hours to set a floor, then price based on scope and business impact. A checkout redesign for an e-commerce business is worth more than the same hours spent on a brochure site.
Present a basic, standard, and expanded package, for example with or without user testing. Clients tend to choose a middle tier and see exactly what each extra adds.
Stakeholder feedback, scope clarification, and meetings take longer than expected. Add 15 to 25 percent contingency or fix the number of meetings included.
Quotes should expire in 14 to 30 days, since your availability and rates change.
A short call of 30 to 45 minutes is normal. For deep research, audits, or workshops, offer a paid discovery phase and apply the fee to the project if they continue.
Detailed enough that someone could tell what is and is not included. A phase-by-phase breakdown with deliverables, timeline, and fee is usually enough.
Refer back to the written scope, then send a change order with the added work, cost, and timeline impact. Get approval before continuing.
A fixed-fee quote that the client accepts in writing generally becomes the agreed price. An estimate of hours is usually non-binding. Label which one you are sending and spell out how overages are handled.
