Web Design Estimate Template (Free)

Web designers send a proposal or quote after a discovery call or intake form, before any design work starts. Clients usually compare a few quotes on price, number of pages, timeline, and what is included, such as copywriting, SEO setup, and training. A clear scope helps your quote stand out from cheaper ones that leave things out.

What to include in your Web Design quote

  • Number and type of pages

List each page or page template. Clients often assume a blog, shop, or extra landing pages are included unless the quote says otherwise.

  • Platform and tools

Name the platform (WordPress, Webflow, Shopify, custom code) and any required plugins or paid apps, since this affects ownership, cost, and how the client can edit the site later.

  • Revision rounds

State how many rounds of changes are included on design and development and the hourly rate for extras, so feedback does not stretch indefinitely.

  • Content responsibilities

Specify who writes copy, supplies photos, and provides logos, and by what date. Late or missing content is the top cause of delays and budget overruns.

  • Features and integrations

Spell out forms, booking tools, payment gateways, email signups, analytics, and migrations. Each can add hours that clients do not expect.

  • Timeline and milestones

Give estimated start, review, and launch dates tied to client approvals, and note that delays on their side move the schedule.

  • Exclusions and ongoing costs

List what is not included, such as SEO strategy, photography, hosting, and maintenance, and show expected recurring costs like hosting and domain renewals.

Pricing your quotes

Price from hours, then add a buffer

Estimate hours for discovery, design, build, content entry, testing, and project management, multiply by your rate, and add 15-20% for feedback rounds and surprises. Many designers underprice by counting only design and build time.

Offer good, better, best packages

Presenting two or three tiers, such as a basic 5-page site, a standard site with blog and SEO setup, and a full custom build, gives clients a choice and anchors the middle option.

Separate one-time and recurring costs

Show the build fee, then monthly maintenance and annual hosting as distinct lines. This makes the project price look clear and sets up recurring revenue from the start.

Set an expiration date

Quotes typically stay valid for 14 to 30 days. Software costs and your availability change, and a deadline encourages a decision.

Web Design estimate FAQ

Should I charge for a proposal or quote?

Short quotes are usually free. For complex projects that need a detailed discovery phase, such as a site audit, sitemap, or technical planning, many designers charge a paid discovery fee of a few hundred to a couple thousand dollars, often credited toward the project if the client proceeds.

What if the client wants to change the scope after accepting the quote?

Write a short change order listing the new work, added cost, and any schedule impact, and get written approval before starting. Your quote should say that out-of-scope requests are billed separately.

Is a quote a binding contract?

Not by itself. A quote becomes enforceable when the client accepts it, ideally with a signature or written approval, and it works best when paired with a contract covering ownership, payment, and cancellation terms. Check local rules or have a lawyer review your template.

How do I handle a client who says another designer quoted much less?

Compare scope rather than price. Cheaper quotes often leave out custom design, revisions, SEO setup, or training. Offer to trim features to meet their budget instead of cutting your rate for the same work.
