Maintenance providers quote before work starts on repairs, turnovers, and anything with parts involved. Clients often get two or three quotes and compare the total price, the hourly rate, and whether materials are included. Landlords and property managers may require a written estimate approved before you begin.
When to use estimates: Use estimates to provide project quotes and get client approval before starting work. Once approved, convert your estimate to an invoice with one click to collect payment.

List each repair and where it is, such as 'replace toilet fill valve, upstairs bath', so nobody assumes extra work is included.
Builder-grade and premium fixtures differ a lot in price. Naming the brand or tier prevents arguments when the receipt arrives.
Clients need to know if the number is a cap, a guess, or a firm price, and what happens if the job runs long.
State that rot, mold, outdated wiring, or code issues found during work are not included and will be quoted separately.
Note tenant coordination, key pickup, or utility shutoffs. Delays caused by access problems can be billed.
If part of the job needs a permit or a licensed trade, say who handles it and whether the cost is included.
Material prices move, so a 14 to 30 day window protects you, and listing deposit and due dates up front avoids later disputes.

| Emergency or after-hours call | per hour | $85-175 |
| Minor repair (faucet, door hardware, drywall patch) | flat fee | $100-350 |
| Recurring property walk-through and inspection | per visit | $40-100 |
| Monthly maintenance contract (small rental or office) | per month | $150-600 |

| Turnover repair and touch-up (rental unit) | per unit | $250-900 |
Typical US ranges. Rates vary by region, experience, and job size.
Include drive time, parts runs, cleanup, and disposal. Many small jobs lose money because only the hands-on time was counted.
When a problem could be a loose fitting or a failed line, quote a range with the conditions that put it at each end instead of guessing one number.
Offering a discount for a punch list of several items in one visit helps clients say yes and saves you repeat trip charges.
Present a basic fix and a longer-lasting replacement as separate line items so the client chooses and the approval is clear.
Simple quotes for small jobs are normally free. For complex jobs requiring a long site visit or diagnostic work, a fee of $50 to $150 is common, often credited back if the client hires you.
Say in the estimate how overages are handled. A common approach is to contact the client for written approval before exceeding the quote by more than 10 percent, and to bill approved additions as change orders.
Not by itself in most cases, but once the client accepts it in writing it can serve as the agreement. Add scope, price, and terms so it holds up if there is a dispute, and check your state's rules for larger jobs.
Fourteen to 30 days is typical. Use a shorter window when the job depends on materials with volatile prices, such as lumber or copper.
